Gee Tee Bulb Company is a family-owned business that has been supplying a wide range of flower bulbs since 1961. With more than half a century of trading behind them, Gee Tee has become the supplier of choice for professional and amateur gardeners.
They are one of Realnet’s longest-standing clients, having been with us for over 15 years, with their website and digital marketing having evolved to where it is today as a full ecommerce website with Sage integration to manage inventory and orders.
With thousands of orders being placed each month, Gee Tee were spending a large amount of time re-keying orders from WooCommerce (the website ecommerce platform) into their Sage 200 accounts system.
As a company with several sales routes aside from the online shop, it is important, from both an accounting and customer care perspective, to collect all orders into Sage 200. It was also evident that some new customers were buying through the website first, so transferring these to Sage 200, as well as all orders, would allow Gee Tee to review past purchases for all their customers.
Realnet were engaged to implement a system integrationd that seamlessly transferred order records from the website to Sage 200. There were a few complexities including sale value calculations based upon price breaks which are managed within the Queue and Processing System.
Orders are now transferred to Sage 200 continuously throughout the day. The process also posts order data required for factors such as pack sizes, warehouse locations and payment methods. Once the order integration was accomplished, the next step was to transfer new customers who create an account online to the Sage 200 database. Now whenever a customer account is created, the relevant customer, contact and address records are pushed to Sage 200 along with their order.
A dashboard allows Gee Tee and Realnet to view real-time API traffic and identify any failed messages so they can be remedied.
The orders integration alone now saves 2-3 working weeks of data input per month during peak times, while also ensuring that human error is avoided and data is exactly matched in both the website and the Sage 200 accounts system. This saves several thousand pounds each year. Alongside this, all customers are now maintained with their own individual accounts in one location – Sage 200. Gee Tee prides itself on customer service levels and this allows for even more effective and efficient assistance to customers.
Finally, the integration dashboard ensures API comms issues are reported speedily and can be identified and understood by clients and Realnet helpdesk staff alike.
